Senior PA/Secretary

To provide accurate and proficient personal assistant support to a business unit and a manager or a group of managers. To provide proficient support to management secretaries within the division to support the overall business units.



To apply specialist skills and knowledge to ensure procedures are followed and standards maintained. To continuously ensure confidentiality when handling work of a sensitive nature. To be responsible for planning and organising their own work, and establishing priorities to achieve agreed objectives. To use initiative in dealing with and managing routine matters. To work with and support the training for secretaries and support secretarial staff to ensure that deadlines are met for UK Corporate. To motivate and engage UK Corporate secretaries to directly impact on the business efficiency of the business unit. To manage the organisation and implementation of key business partner events. To be the face of the Company by interfacing with key internal and external business partners in the organising of calendars and event management.
To be responsible for organising and prioritising the management work to ensure that the businesses priorities are met. To proactively take the initiative and be proactive in dealing with issues that may arise for managers. To ensure that enquiries, mail etc. are screened and dealt with efficiently using judgement to assess priorities and importance. To support the managers by offering solutions on planning time and prioritising workloads. To be able to travel frequently to meet remote managers.
To be proficient in applying attention to detail in making judgements based on the analysis of factual information in straightforward situations.
To carry out and present in the required format research for Managers and sifting through information in compiling reports prepare draft responses.
To undertake non-routine / more complex issues that may be referred.
To take personal responsibility for own development


Knowledge, Skills and Behaviours

An awareness of the Financial Services industry in general is also required. A high level of organisational ability in arranging management meetings. Ability to engage at the right level and represent the business with internal and external business partners. Demonstrable project management skills, particularly when organising large events/conferences. To be fully conversant with procedures, policies and systems applied within the business unit. To be able to support and train colleagues on IT systems and processes. Strong verbal, written and interpersonal skills. To have strong negotiating and influencing skills externally and internally and a degree of diplomacy and discretion in dealing with difficult situations. Ability to position complex ideas, data and information in a concise and logical way using terms and language relevant to the audience. To be able to collate and gather information from a variety of sources to produce internal and external reports in a logical and professional format. To prepare standard and original texts ensuring accuracy and precision and when required to correspond under their own name. High degree of initiative and proactive behaviour in dealing with any issues that may arise. To have a high level of discretion and deal effectively when handling highly confidential information. To present a professional and efficient image internally and externally. To challenge managers on processes and behaviours and support managers in maximising the effectiveness of their role. To be able to be flexible logistically to travel to appropriate locations as and when required.

Experience and Qualifications

Extensive experience as a personal assistant at an executive level.
5 GCSEs or equivalent
Secretarial qualifications
