Job Specific Responsibilities
o Provide a friendly and professional front of house reception service, welcoming and inducting visitors, maintaining security through adhering to procedures
o Receive and distribute incoming mail and frank outgoing mail. Receive parcels as per procedures.
o Undertake active monitoring within the building as directed by the Facilities Co-ordinator. Examples include ensuring meeting rooms are maintained to the standards required, ensuring they are clean, tidy and equipped following previous users. Ensure kitchen and canteen areas are well maintained.
Building strong stakeholder relationships
o Promote and enhance the goals and reputation of Facilities through helpful attitude and good communication skills, both verbal and written
o Maintain current good relationships with contractors and suppliers
o Build a strong working relationship within your team and the wider Facilities community
Setting strategic direction
o Play a positive role in the Facilities team, providing feedback on local issues and suggestions for improvements
Ensuring effective governance
o Engage with staff at all levels to maintain an open and transparent organisational culture, welcoming positive challenge and constructive ideas
o Contribute to legal and statutory compliance within your building
o Maintain records and data in accordance with company policies and procedures
Skills and competencies
o Experience in a customer service environment
o IT experience, ideally in using MS Outlook, and other MS applications
o Understanding of Health and Safety risks and experience of active monitoring
o Experience of collating and inputting data
o Understanding of a positive health and safety culture
o An awareness of premises environmental issues
o Good oral and written communication skills
